    Spreadsheets are a great way to start managing a few rental units. The problem is most landlords don't notice the exact moment they stop being enough - they just keep patching around the cracks. Here are five signs it's time to move on.

    1. You keep multiple versions of the same file

    "Rent_Tracker_Final_v3_ACTUAL.xlsx" is a red flag. If you're duplicating files to avoid losing data, the tool itself has become the risk.

    2. You find out a tenant is behind only when you go looking

    Arrears should surface themselves - not require you to manually scan a column every time you want to know who owes what.

    3. You've had a payment recorded against the wrong tenant

    It happens to everyone eventually with manual entry. The question is how long it took you to notice, and what it cost in the meantime.

    4. Reports take an evening to put together

    If generating a simple monthly summary means building pivot tables from scratch every time, that's not a report - that's a part-time job.

    5. Adding a new property means starting a new tab

    A system that doesn't scale smoothly from 5 units to 50 will eventually force a painful migration. Better to move before that point than after.
