A dashboard full of numbers is only useful if you have a habit of actually checking it - and knowing which numbers matter most week to week, rather than being overwhelmed by everything at once.
A simple weekly routine
1. Outstanding invoices
Who currently owes rent, and how overdue is it? This should be the very first thing you glance at - it's the earliest signal that something needs your attention.
2. New payments received
A quick scan confirms reconciliation is working correctly and nothing looks out of place.
3. Vacant units
Which units are currently empty, and for how long? If a unit has been vacant longer than your average, it's worth asking why.
4. Upcoming lease expiries
Renewals and move-outs coming up in the next 30-60 days - enough lead time to act, not just react.
5. Any flagged maintenance or asset issues
Small issues left unresolved tend to become expensive ones. A five-minute weekly check catches most of them early.
Why weekly, not monthly
Monthly reviews catch problems after they've already compounded for weeks. A short, consistent weekly check turns your dashboard from a report you dread into a habit that quietly keeps your business healthy.
